Email Profiles
Using email profiles speeds up the task of sending emails to users and standardises the presentation of your emails. All administrators can create email profiles.
System email profiles are installed with Pegasus Web Xchange for Payroll Self Service and Timesheets.
System email profiles
These system email profiles are installed:
Payroll Self Service

Email sent for forgotten passwords (sent when requested)

Email sent for new users (sent automatically).
Sales App
-
None
Timesheets
-
Email sent when a worker submits a timesheet for a department without a manager (sent automatically)

Email sent when a timesheet is rejected by payroll for a worker that has left the company and the department is without a manager (sent automatically).
These profiles can be modified by a website administrator if required.
Custom email profiles
Any number of custom email profiles can be created. Once these email profiles have been set up they can be used to send emails to users in different Payroll Self Service and Timesheets roles.
Custom email profiles can be created for various reasons, for example to tell users that:

the website will be unavailable for a time
-
their latest payslips are available in Payroll Self Service.
Sending emails using email profiles
Custom emails are sent from the Users pages in these areas:

Pegasus Web Xchange
-
Payroll Self Service Administration
-
Sales App Administration
-
Timesheets Administration.
Steps

Email profiles can be created from the administration pages for Pegasus Web Xchange, Payroll Self Service or Timesheets:
i. Sign in as a Pegasus Web Xchange administrator, and select the Settings button on the Pegasus Web Xchange Administration page. Then select the
link.
ii. Sign in as a Payroll Self Service administrator, and select the Email Profiles button on the Payroll Self Service Administration page.
iii. Sign in as a Sales App administrator, and select the Sales App Settings button Administration page. Then select the
link.
iv. Sign in as a Timesheets administrator, and select the Timesheet Settings button on the Timesheets Administration page. Then select the
link.

On the Email Profiles page, select the
link.

Update the boxes on the page, including the body of the email profile.

Select the Save button.
